This Cancellation Policy outlines the procedures for students who wish to cancel their scheduled lessons through the Student Portal. The policies described below ensure consistency and fairness in handling cancellations, while also maintaining flexibility for both students and instructors.
1. Cancellation Before Deadline
1.1 Deadline
Students may cancel their scheduled lessons up to 24 hours before the lesson start time without incurring any penalties.
1.2 Attendance Status
When a student cancels before the 24-hour deadline, the following actions will occur:
- The student will be removed from the attendee list.
- The lesson will be marked as "Absent, Notice Given".
- A Make-Up Credit will be issued.
1.3 Event Slot Status
Upon cancellation before the deadline, the event slot will:
- Convert to an open lesson slot, making it available for other students to book if desired.
2. Cancellation After Deadline
2.1 Deadline
If a cancellation is made less than 24 hours before the lesson start time, the following policies will apply:
2.2 Attendance Status
When a student cancels after the 24-hour deadline, the following actions will occur:
- The student's attendance will be marked as "Absent, No Make-Up". This means no make-up lesson will be offered, and the payment for the lesson will not be refunded or credited, except in cases of emergency or at the discretion of the instructor.
2.3 Event Slot Status
Upon cancellation after the deadline, the event slot will:
- Not convert to an available lesson slot. The slot will remain unavailable for other students.
3. Make-Up Credit Policy
3.1 Issuance of Make-Up Credits
There is no limit on the number of make-up credits a student may receive. However, make-up lessons will be granted at the discretion of the instructor and in accordance with the student’s cancellation history and reason for cancellation.
3.2 Expiration of Make-Up Credits
All issued make-up credits will expire 45 days after they are issued if not used.
4. Teacher's Discretion
As the teacher, I retain the right to overwrite any student cancellation or attendance status at my discretion. This includes, but is not limited to:
- Marking the student as "Absent, Notice Given" or "Absent, No Make-Up".
- Reissuing make-up credits based on the student’s history or extenuating circumstances.
5. In-App Notifications
- Cancellation Notifications: Any cancellation made by a student in the Student Portal will trigger an in-app notification for the instructor.
- Event Sign-Up Notifications: Any event sign-up by a student will also trigger an in-app notification.
6. Event Sign-Ups in Student Portal
Students can sign up for available lesson slots via the Student Portal.
- Sign-ups must be completed no later than 24 hours before the lesson start time.
7. Cancellation Exceptions
In cases of emergency or unforeseen circumstances, students may contact Frank's Music Services, LLC to discuss potential exceptions to this Cancellation Policy. Exceptions will be evaluated on a case-by-case basis.
By using the services of Frank's Music Services, LLC, students acknowledge and agree to comply with this Cancellation Policy. The policy is designed to provide flexibility while ensuring that time is respected for both students and instructors.
